Zone Chair Tips September 2012


Good Evening Zone Chairs,

Last month I forwarded an e-mail to you all providing some tips and thoughts to help you along. Only 10 of 58 Zones chairs replied and to those I say thank you. I was pleased to share in your successes and challenges that have been presented. With effective communication we will continue to see a difference in those zones. Keep up the great work.

Tips for September
  1. For the month of August 102 of 467 clubs did not file a WMMR. This suggests that clubs are having difficulty accessing the MyLCI site or are not aware how to proceed. This can be partly attributed to the fact that many club Secretaries and Presidents did not receive any In Service Education. In some cases the In Service Education was done before the new system was announced and there has been no follow up.By now you should have received the August month end stats from the MD office and you will know what clubs have not filed WMMR or VAD. 21 of 67 zones had 100% of the reports filed on time. Congratulations! If you have not received the information please contact your District Governor or MD office to ensure you receive a copy monthly
  2. It is not too late for Zones /Districts to hold additional In Service Education for Secretaries and Presidents as along as it is completed before the end of the month. I know District H has scheduled a session for this month and District C has been providing on-line tutorials. There are Presidents and Secretaries courses available through the Lions Learning Centre on the LCI web site. Any president or secretary can register and complete the on line training. If we know who has completed this course we can verify the information from LCI. If you offer an additional course please be sure to advise Multiple District of those that have attended.
  3. If you have read the latest Border Crossing you will notice those Secretaries and Zone Chairs that achieved their Excellence award. The numbers are down significantly this year and it can be partly due to information not being communicated to the MD office.
  4. I note that Zones C-1,E-1,F-1,F-2, and H-7 have held their first Zone Advisory meeting and have filed the appropriate report. If you have held a meeting please be sure to report the information to the MD office. A sample report is in your Zone Chair Manual. If you do not sent it in the Presidents and Secretaries who attend do not receive credit nor do you as Zone Chair.
  5. Be sure to file your visitation and expense claim forms monthly.
  6. Dues......please follow up with your clubs on those that have not paid. The MD office cannot function without prompt payment. Your District Governor is also reliant upon the prompt payment as their operations account cannot be funded until clubs have paid. All of this has a trickle down effect on services that can be provided.
  7. I am in receipt of a few Zone Bulletins which are excellent keeping the zone informed as to what is happening in the Zone District and sometimes at International. Please keep them coming. If you are in doubt what to include refer to your Zone manual and you will find ideas for every month.
  8. The Fall Annual Convention is being held in Nanaimo October 11-13 (5 weeks away). As of today 12 Zone Chairs are attending. remember you are reimbursed cost for 100% of the Ferry fare and mileage plus some assistance towards the Hotel costs. Please register now. Registration forms can be found in the Border Crossing and on the MD web site. We are hoping that when your District banner is paraded in with the DG and VDG the current Zones Chairs will follow behind as you are all part of your District Team.

“Club Secretaries
The Zone Chair had received several questions from secretaries as to how to enter specific information about club activities when filling out the MMR.
ANSWER
When going to “MyLCI” to fill out your MMR’s everyone knows to click on the “Club” tab and insert the pertinent data on the display form.
At the top of the page that is first displayed is a horizontal line of labeled tabs that some can be clicked on. Find the tab labeled “Activities” and click on it. A new page appears and here is where you enter all the cool stuff that your club has been doing i.e. the number of eye glasses or hearing aids collected or the # of newspapers picked up or a unique service project completed. Under “Activities” you can also enter your clubs reoccurring projects (Fund Raising and Service). You can enter club photos of cool things your club has been doing. All of this was covered in this years Secretarial Training either at several New Officer Training classes that were offered or on-line with the Lions Webinar for Secretaries.”
Just for your information you can include visitations and donations in this section.
Last month 238 clubs filed an activity report on line 239 clubs did not. Zone Chairs please talk to your clubs about this and lets see if we can improve in this area.

   11. Club Excellence Process...do you know what it is how it works.....are any of your clubs planning to become involved or have completed this process? Please let me know as we are keeping track . District Governors have a goal that each District will complete a minimum of 5 before December 31st. If you need more information please contact your District Leadership Chair or Allan Hunt (MD 19 Leadership Chair)or myself'.
  12.  Set a goal to personally contact each of your clubs in your Zone to see what is new and were the may need additional help
